Materials in this collection include departmental files pertaining to gifts, statistics, correspondence, theses, project files, biographical information, notes, faculty authors' information, slides, photographs, posters, oral history transcripts, photocopies of books, videotapes, bibliographies of faculty publications. and other exhibit and event materials including signage, programs, postcards, labels, and videocasettes. The collection covers the years 1819 to 2005.

The Subject Specialist Program at Gelman Library was instituted by University Librarian Sharon Rogers, and ran from summer 1985 until summer 1999. All librarians had to do collection development, faculty liaison, and research consultations, and many taught classes. In 1991 the then-acting University Librarian Debbie Masters instituted the coordinator/team leader format. Special materials was always a part of the University's library collections. The Special Collections Department began in 1968 as part of the Lisner Library. However, it was not until 1973, and the opening of the Gelman Library, that the University's special materials were housed together in proper storage and service areas.
